Terms & Conditions

Here you need to know about the Booking Policy for Maharajas' Express, Palace on Wheels and Deccan Odyssey train that will help you to plan your luxury train journey.

Places On Wheel

 

Terms and Conditions :

  • Surcharge of 10% will be applicable during Christmas (25th December) and New Year (1st January) departures.
  • According to government rule, Goods and Services Tax (GST) will be applicable.
  • 50% of the adult tariff will be charged for the children 05 years and more but less than 12 years of age.
  • Children up to the age of 5 years will be complimentary; however, it will be in the same cabin.
  • The INR (Indian Rupees) tariff will be applicable for the guests holding any of these Indian Indentity proof (passport / voter ID / Aadhaar / Pan card,

OCI, PIO card).

Booking Policy :

  • 25% of ticket value at the time of confirming the booking.
  • Remaining of ticket value 60 days prior to departure date.

Inclusions/Exclusions

The fares of Palace on Wheels covers the following :

  • Travel, accommodation, catering, conducted sightseeing, entrance fee at monuments, parks and palaces (excluding video camera fee),

    cultural programs, Canter  Safari at Ranthmabore camel ride at Jaisalmer ( Sam Sand Dunes), boat ride at Udaipur and rickshaw ride at Bharatpur Bird Sanctuary.

  • Canter Safari on sharing basis at Ranthambore National Park.

The fare of Palace on Wheels doesn't cover the following :

  • Tips, laundry, telephone calls, video camera fees, liquor and other items of personal nature.

Cancellation Policy :

In case of travelers want to cancel the tour, they need to intimate Palace on Wheels via fax or e-mail. The refund of the money is solely based upon the number of days left for the departure of the train

  • 10% of ticket value shall be deducted on cancellation between 120 to 90 days before the travel date.         
  • 25% of ticket value shall be deducted on cancellation between 89 to 60 days before the travel date.              
  • 50% of the ticket value shall be deducted on cancellation around 59 to 30days before the travel date.         
  • No refund shall be admissible in case the booking is cancelled within 29 days before the departure date.  
  • On cancellation of booking Suo-moto by Operator 100% of the fund deposited (without any kind of additional charges/claims) will be refunded.        
  • However, Operator will not be liable for any refund or compensation for any services such as pre/post accommodation, airline tickets, and excursions etc. that have been booked by the guest and/or their Travel Agent.   
  • Operator, under information to RTDC reserves the right to cancel the tour/trips at any given point of time to whatsoever reasons, 100% of received amount will be refunded in such cases.          
  • Operator will review and apprise the agents of such instances 60days prior to departure in case of low occupancy. Operator has the right to cancel the departure upto 30days prior and inform the agents or individuals of such bookings.
  • The minimum occupancy defined is of 50% to run the operations, i.e.17cabins.  

Maharajas' Expess

Booking Policy :

  • You have a choice of making the entire payment in one go or pay a booking amount of 25% of the tour cost at least 90 days or more prior to the departure date and the balance payment by 60 days prior to the departure of the tour.
  • If a booking is made 59 days or less prior to the departure of the tour, then the full 100% payment need to be made.
  • All the booking requests will be processed based on the above mentioned payment policy failing which bookings may be released/cancelled and relevant cancellation charges will be applicable following deduction for services rendered.
  • On completion of the booking and payment formalities, a confirmation will be sent to you. Kindly review & check the confirmation and advise us of any errors, if any, immediately. The final documentation containing the itinerary and voucher will be sent through an e-mail 14 days prior to date of departure. The originals will be handed over to you once you arrive in India.
  • On payment of the booking amount, you will receive an acknowledgement for the amount paid. All the relevant bank charges will need to be borne by the travellers.
  • The prevailing rate of exchange on the date of the transaction would be applicable.

Special Note:

  • Name with details required at the time of booking except as provided. Name change is allowed upto 60 days prior to departure. In absence of full payment, names and passport copies booking will not be confirmed.
  • Only one date change may be permitted upto 60 days prior to departure subject to availability. No refund in case of difference of tariff.The difference of tariff to be paid in case of higher tariff for the scheduled departure.
  • Either name change or date change will be allowed not both as stated above. Name change or date change will be allowed subject to submission of passport copy and full payment before 60 days prior to the departure (original booking).

    Penalty Cluase:

    • Deduction of 0.5% of the balance amount shall be paid if payment is made between 30 to 59 days prior to departure.
    • Deduction of 0.75% of the balance payment shall be paid if payment is made between 0 to 29 days prior to departure.

    Cancellation Policy :

    If you wish to cancel the booking of your client, you must communicate the cancellation by Email Only.

    • 60 days or more prior to departure, 25% of published price.
    • 45 to 59 days prior to departure, 50% of the net amount.
    • 0 to 44 days prior to departure, 100% of the net amount.

    No show/ en route termination of tour/amendment :

    • No Show : In case of No Show / Non-arrival of the guest, no refund or adjustment in future travel will be possible. The whole amount shall be treated as forfeited.
    • En Route Termination of Tour : In case of termination of tour by the guest, for any reasons, no refund or adjustment for future travel will be possible. The amount for unused portion of the tour shall be treated as forfeited.
    • Amendment - Is only possible under the circumstances like Natural Disaster / Natural Calamity or Serious Health Problem's (this needs to be supported by doctor's certificate) and is subject to availability. No refunds are possible and every case will be decided on merits on a case to case basis. No amendment will be permissible in case of booking of groups or complete train.

    Child Policy :

    Maharajas' Express does accommodate children but we request parents to be mindful of the sophisticated adult atmosphere we endeavour to maintain.

    • Children below 5 years shall be allowed free, subject to sharing of double bed with parents. This is subject to availability of double bed at the time of booking. However, this is not recommended by us.
    • Single child (5 years - 12 years) sharing cabin with adults : 50% of the adult fare, subject to sharing of double bed with two full paid adults. This is subject to availability of double bed at the time of booking. However, this is not recommended by us. OR Single child (5 years - 12 years) in a separate cabin - 50% of the (adult fare + Supplement charges) if requested in a separate cabin.
    • Two children (5 years - 12 years) in a separate cabin : 50% of the adult fare for each child in a separate cabin on twin sharing basis.
    • Three children (5 years - 12 years) in a separate cabin : 50% of the adult fare for each child subject to sharing of double bed. OR If third child request in a separate cabin - 50% of the (adult fare + Single Supplement charges).
    • Single child (5 years -12 years) + one adult in a separate cabin : Two adults fare on twin sharing basis.
    • Two children (5 years -12 years) + one adult in a separate cabin : One adult fare plus 50% of the adult fare for each child subject to sharing of double bed.
    • Child booking, if requested in a separate cabin, is subject to travelling with the adults. It is to be noted that single child has to share guide/vehicle with adults travelling together in case of Suite & PS cabin booked pax. In case, a separate higher category vehicle is required, then supplement will be levied.
    • Please note that interconnecting cabins are only available in the Presidential Suite Car and not in any other category of cabins.
    • All applicable taxes will be charged extra.

    Terms & Conditions

    • Only one date change may be permitted up to 60 days prior to departure subject to availability. No refund in case of difference of tariff. The difference of tariff to be paid in case of higher tariff for the scheduled departure.
    • Either name change or date change will be allowed not both as stated above.
    • Operation of All the journeys are subject to a minimum number of passengers. In case the minimum numbers of passengers are not mustered, IRCTC reserves the right to offer the client an alternate departure date or an alternate journey or a refund. In the unlikely such eventuality, 30 days’ advance intimation may be given, wherever possible. The refund would be subject to the booking terms and conditions of IRCTC. Most changes made by us would be minor, but on certain occasions there could be a possibility of making a significant change. A change is defined as significant if it involves a change of destination or date of departure. In such an eventuality, we would inform you as soon as possible and provide you with the following solutions:
    • IRCTC reserves the right to determine the amount of refund value in case of cancellation and amendments. The decision on the quantum of refund will be final as that made by IRCTC. The refund will be made in the name of the IA/TA/PSA. There will be no refund for unutilized services unless specified. In no circumstances whatever shall the IA/ TA/ PSA make or promise any refund on or in respect of the tours, deviations in route/service or vouchers supplied by IRCTC without previous reference to IRCTC and by its written authority. Where the IA/ TA/ PSA makes such representations, the IA/ TA/ PSA would be solely responsible and incur full liability for such representation including but not limited to damages, compensation and specific performance. The refund amount (if any) will be calculated as per the amount received in our account in INR
    • The final documentation containing the itinerary and voucher will be dispatched to you 14 days prior to date of departure.

    Payment Terms and Conditions

    • During the initial confirmation time, 20% of the total published price should be paid.
    • The balance 80% should be paid at least 60 days prior to the departure date.
    • During initial confirmation, name and details of all the passengers (adult and child) should be mentioned.
    • Name with details required at the time of booking except as provided. Name change is allowed upto 45 days prior to departure.
    • Only one date change may be permitted upto 45 days prior to departure subject to availability. No refund in case of difference of tariff. The difference of tariff to be paid in case of higher tariff for the scheduled departure.
    • Either name change or date change will be allowed not both as stated above.
    • In case of price difference in the ticket tariff between the two dates, any outstanding fee should be paid by the tourists. However, no refund would be made from the authorities in case of the new tariff being lower than the old one.

    Cancellation Terms and Conditions :

    • 20% of the price is charged if cancelled 60 days prior to the departure date.
    • 40% of the total price is charged as cancellation fee if cancelled between 45 and 59 days prior to the departure date.
    • No refund if cancelled less than 44 days prior to the departure date.

    Christmas, New Year, and Signature journey charges

    • Additional USD 400 per head is charged as supplement charges for itineraries covering Christmas, and New Year.
    • The charge is applicable for child between 05-12 years.
    • The same charge is applicable for signature journey announced by IRCTC.

    Booking Policy

    • For individual booking, all details about the passengers should be provided 45 days prior to the departure date.
    • In case of permission for name change within 45 days from the departure date, IRCTC makes the final decision.

    Child Policy

    • Children are allowed to board the train provided they are accompanied by an adult.
    • Children below the age of 5 years are free to board the train, provided they share a bed with their parent (applicable only when double bed cabins are available).
    • Children between 5 and 12 years will be charged 50% of total price. Children have to accompany with two adults (applicable only when double bed cabin are available).
    • In case of separate cabins, children are charged 50% of total cost and supplement charges.
    • In case of travelling with two children above five years, a separate cabin is provided with twin-sharing bed for 50% of adult cost for each child.
    • In case of travelling with three children above age of 5, separate cabin is given with double bed with 50% of adult fare for each child.
    • In certain cases, two children can stay in one cabin (50% of adult fare), and the third can stay in separate cabin with 50% of total fare and supplement charges.
    • If one adult and one child above five years choose to stay in separate cabin, the cost is calculated as two adult travelers.
    • If two children above five years choose to stay with one adult in a separate cabin, the children will be charged 50% of adult fare per head.

    No show/ En route termination of tour/amendment:

    • If the guests fail to show up at the departure point, no refund or adjustment will be made.
    • If the tour is ended by the guest, the unused part of the itinerary will not be refunded or reused.
    • In case of no-show due to serious illness, IRCTC decides the matter of providing an alternative itinerary or date. No refund will be made. Such amendments are not possible in case of full train booking or charter train booking.

    Deccan Odyssey

    • All prices are in US Dollars
    • The above costs are per cabin per Journey
    • Double Bed Supplement - $500 (Taxes Extra)
    • As the train runs on the tracks of the Indian Railways, the itineraries are subject to change in case of any changes in the routing etc.
    • Prices are subject to change in case of any amendment in the routing or other hikes such as fuel, taxes etc.
    • Children below 5 years of age shall be allowed free, subject to sharing of double bed with parents. This is subject to availability of double bed at the time of booking.
    • Presidential Suite can accommodate up to 3 adults or 2 Adults and 2 children (One child up to 5 years of age and second child up to 12 years of age).
    • GST of 5.00% (subject to change as per Govt. directives) is additional and will be charged extra on the invoiced amount.
    • We need minimum occupancy to operate all listed journeys, in event if we do not manage minimum occupancy we reserve the right to cancel the journey at least with 30 days prior intimation.
    • As Train runs on tracks so you may experience sounds of passing trains and some shaking during the journey. This is a normal feature countrywide with trains in India.
    • The Entire Deccan Odyssey Train is non Smoking. For any particular requirement, kindly contact your Valet.

      Exclusion :

      • GST/VAT, Insurance, gratuities

      • Video and professional Still camera fees
      • Arrival and Departure transfers
      • International and Domestic air tickets / Visa fee
      • Pre and Post tour accommodation and any tour extensions unless specifically mentioned as a part of the journey
      • All activities mentioned as 'options' in the itinerary

      The Booking Policies :

      Child Policy :

      • Deccan Odyssey does accommodate children but we ask parents to be mindful of the sophisticated adult atmosphere we endeavor to maintain.
      • One child up to 5 years of age shall be allowed free of cost in the Deluxe Cabin, subject to sharing of double bed with parents. This is subject to availability of double bed at the time of booking.
      • For families, with a child between 6-12 years of age, or, with two children with one child below 5 years and another between 6-12 years, we recommend the Presidential Suite which has a double bed in the bedroom and can be shared with a child below 5 years and a sofa cum bed in the living room which can accommodate the older child. In this case, the child/children will be accommodated free of cost.
      • In case of two children between 6-12 years of age travelling with their parents, you will have to take 2 cabins. The first child pays 25% of the adult fare and the second child will have to pay 50% of the adult fare. One of the parents will have to be present with the child / children in the cabin.
      • Please note that we do not have the facility for interconnecting cabins.
      • All applicable taxes will be charged extra.

      Cancellation Policies :

      • Any cancellation must be advised immediately by email and subsequently confirmed by letter to the Central Reservation Division.
      • Retention of 10% of ticket value on cancelling 60 days prior to the departure date.
      • Retention of 20% of ticket value on cancelling 59 - 45 days prior to the departure date.
      • Retention of 50% of ticket Value on cancelling 44 - 30 days prior to the departure date.
      • Retention of 100% of ticket value on cancelling 29 days prior to the departure date

      All The Journeys are Subject to a Minimum Number of Passengers
      • In order to run a Journey we need minimum number of passengers. Deccan Odyssey Reserves the right to to cancel / postpone the departure if the minimum number of strength to operate the journey is not met.
      • In such an unlikeley condition, we will inform 30 days prior to the scheduled date of departure of that specific journey/s.
      • We reserve the right to make changes to the programme if necessary.
      • Timings are subjected to change in the Itinerary, and we reserve the right to make such changes as timinings and schedule is decided by Indian Railways and at times may be subjected to change.
      • The refund would be subject to the terms and conditions of DECCAN ODYSSEY.
      • Note: We advice to book your onward Flight Ticket, next day post arrival.
